How to plan a month of social media content in one afternoon

A simple, repeatable way to plan themes, posts and campaigns for the next four weeks.

Most small teams plan social media one day at a time, which is why it feels endless. Planning a whole month in one afternoon takes about three hours the first time and less every month after that. Here’s the process we recommend.

Start with your goals

Pick one or two goals for the month, not five. For a café that might be “fill Tuesday evenings” and “get more Google reviews”. For an agency it might be “launch the new service page”. Every post you plan should support one of these goals, or build trust with your audience.

Choose four weekly themes

A theme gives each week a focus and makes ideas much easier to find. Here’s an example for a restaurant:

WeekThemeExample posts
1New menuMenu reveal, chef’s favourite dish, Google update
2RegularsReview of the week, team introduction
3Quiet nightsTuesday offer, happy hour reminder
4EventsEvent announcement, booking reminder

Decide your posting rhythm

Choose a rhythm you can keep for three months. Consistency matters more than volume. A realistic starting point for a small business:

  • Instagram: three or four posts a week, including at least one Reel
  • Facebook: two or three posts a week
  • Google Business Profile: one update a week
  • LinkedIn: one or two posts a week, if your customers are businesses
Plan the rhythm you can keep in your busiest month, not your quietest.

Fill the calendar in one sitting

Block two hours. Start with fixed dates such as holidays, events and launches, then add your recurring posts, then fill the gaps with theme posts. In JustCaster, you can ask the AI Content Studio to suggest posts for empty days and keep only the ones you like.

Adapt each post for each network

The same idea rarely works word for word everywhere. Keep one main caption, then adjust: shorter for X, more context for LinkedIn, a clear button for Google Business Profile, a vertical video for TikTok and Reels.

Review, schedule and leave room

Read the month from start to finish before scheduling. Is every goal covered? Is any week too heavy? Leave one or two open slots each week for timely posts, so the plan never feels rigid.
